We set up almost everything for you, and your account does a lot of work on its own. This page shows you the four places you will use, and the colors that tell you what is safe to change.
Your account lives at one address: app.clientcashflowsuite.com. Save it as a bookmark so you can find it every day.
The first time, open the invite email we sent you and click the link to set your password. That link only works for a short time. If it has expired, message us and we'll send a new one.
Go to app.clientcashflowsuite.com. Type your email 1 and your password 2, then click Sign in 4. Forgot it? Click Forgot password? 3 and check your email. You can change the language at the bottom 5.
Tap any picture to make it bigger. On your phone, use the app we set up with you. Log in with the same email and password. Allow notifications so you hear when a new message comes in.
How your system works
- Step 1Someone finds youA post, an ad or your website.
- Step 2They take your quiz or bookTheir name, email and phone are saved.
- Step 3Follow-up goes outEmails and texts send by themselves.
- Step 4They book a callIt lands on your calendar with reminders.
- Step 5You talk to themThat part is yours.
The four places you will use

Your first week
- Day 1Log inOn the computer, then put both phone apps on your phone (Lessons 2 and 3).
- Day 1Lesson 1Open Conversations and answer anything new.
- Day 2Lessons 4 and 6Look at your calendar and find yourself in Contacts.
- Day 3Lesson 8Read what runs by itself. No changes yet.
- LaterLessons 9 to 14Only when you want to change words or send to a group.
The three colors on every lesson
Reading, replying, changing words or pictures. You can't break anything.
Adding steps or sending to many people. Follow every step and send a test to yourself first.
Triggers, deleting, anything not shown in these lessons. We'll do it with you.
Two habits that keep you safe
- Never press a red Delete button. If something should go away, message us.
- Before a change goes live, send a test to yourself. Every editor has a test button.
Words in this lesson
- Contact
- One person in your account: a lead, a client, anyone.
- Automation
- Messages and steps that run by themselves when something happens.
Answer your messages
All your emails, texts and social messages land in one inbox called Conversations. Read the new ones and reply from the same screen.
One inbox for every way people reach you.
You answer fast, and you never hunt through five apps.
Click Conversations in the left menu 1. Click Unread at the top 2 to see only new messages. Click a person's name 3 to open the chat.
Tap any picture to make it bigger. Look at the right side. You see the person's details: their tags 1 (a tag called
quizmeans they took your quiz), where they came from 2, and more details under General Info and Additional Info 3, like their quiz answers.Choose how to answer. Click the small word at the bottom left of the reply box 1 and pick SMS (text), WhatsApp or Email 2. Answer the same way they wrote to you.
For an email: type a Subject 1, type your message 2, add a picture with the small picture icon 3 if you want, then click the blue send arrow 4.
Good inbox habits
- Start in Unread every time. When Unread is empty, nobody is waiting on you.
- Answer new leads within minutes when you can. A fast reply books more calls.
- A text that fails usually means a wrong number or a landline. Send an email instead.
Messages you didn't type
You will see emails and texts in a chat that you never wrote. Those are your automations working (Lesson 8). When the person replies, their follow-up stops by itself and it's your turn. If an automatic message looks wrong, send us a screenshot.
You'll know it worked when
Your message shows in the chat on the right-hand side, with a time under it and no red triangle.
Careful
Words in this lesson
- Conversation
- All the messages between you and one person, in order.
- Channel
- The way a message travels: text (SMS), email, WhatsApp, Facebook or Instagram.
- Tag
- A small label on a person, like
quiz. It tells you, and the automations, something about them.
Use the phone app
Answer messages and check your calls from your phone. The app is called LeadConnector. It shows the same account you see on the computer.
Your account in your pocket: inbox, calendar and contacts.
New leads hear back from you in minutes, even when you're away from your desk.
On your phone, tap the button for your phone to download LeadConnector. It's free.
Reading this on your computer? Open this page on your phone and tap the button, or copy a link and text or email it to yourself:
https://apps.apple.com/us/app/lead-connector/id1564302502https://play.google.com/store/apps/details?id=com.LeadConnector
You can also open the App Store or Google Play on your phone and search LeadConnector.Open the app and log in with the same email and password you use at app.clientcashflowsuite.com. When the phone asks, tap Allow for notifications so you hear about new messages.
This is Home. At the top is your business name 1. You see how many messages are waiting 2 and today's calls 3. The bar at the bottom 4 takes you everywhere: Home, Conversations, Search, Calendar and Apps.
Tap any picture to make it bigger. Tap Conversations at the bottom. Use Team Inbox 1: it shows everyone. Tap Unread 2 to see only new ones. Tap a person 3 to open the chat and reply. The + button 4 starts a new message.
If you open My Inbox 1 and it is empty, don't worry. My Inbox only shows chats given to you by name. Tap Team Inbox instead.
After tapping +, pick New Direct Message 1 for a text, or New Email 2. Then type the person's name and write your message.
Tap Calendar at the bottom. Switch between month, week and day 1. Your calls show as small boxes 2. Tap a day 3 to see its calls. Tap + 4 to book someone yourself.
Shortcuts live on Home under Quick Actions: Add Contact 1, New Message 2 and Book Appointment 3.
You'll know it worked when
You see your business name at the top, and a test message you send yourself shows up in Conversations on both your phone and your computer.
Careful
- Not hearing about new messages? Open your phone's Settings, find LeadConnector, and turn on Notifications.
- Don't use New Group Message on the phone. Send to many people from the computer, the way Lesson 13 shows.
- Don't make calls with the Dialer in this app. Your calls go through Project Broadcast (Lesson 3). Payments and invoices are in the app too, but they are not part of your setup.
Words in this lesson
- LeadConnector
- The name of the phone app for your account.
- Team Inbox
- Every conversation in your account. Use this one.
- My Inbox
- Only the conversations given to you by name.
Texts and calls: Project Broadcast
Your texts go out through a company called Project Broadcast, and that's also where you make phone calls. Here's why you need it, and how to set it up on your phone.
Why you need it: the phone and the phone company
CC Suite is your phone
Like an iPhone or a Samsung. It holds your contacts, your messages, your calendar and all your follow-up.
Project Broadcast is your phone company
Like AT&T, Verizon or T-Mobile. It gives you a phone number and carries your texts and calls.
A phone without a phone company can't text or call anyone. That's why your Project Broadcast plan is a monthly subscription, just like a phone bill.
In the US, every business that sends texts has to be registered and approved first. The phone carriers require it. It is called A2P, and it can take from a few days to a few weeks. Project Broadcast handles it for you.
We tried the options. Project Broadcast is one of the most flexible, it gets businesses approved faster, and it costs less.
Set it up on your phone
On your phone, tap the button for your phone to download Project Broadcast.
Reading this on your computer? Open this page on your phone and tap the button, or copy a link and text or email it to yourself:
https://apps.apple.com/us/app/project-broadcast/id1289777524https://play.google.com/store/apps/details?id=com.starterstep.broadcast
You can also open the App Store or Google Play on your phone and search Project Broadcast.Open it and log in with the email and password of your Project Broadcast account (the one you made when you signed up with them). Tap Allow for notifications.
To make a call: open the person in Project Broadcast and tap the phone icon. The person sees your business number, not your personal one.
You'll know it worked when
You call your own cell from the Project Broadcast app and your business number shows up on the screen.
Careful
- Don't cancel your Project Broadcast plan. Your texts stop the same day, and so do the reminder texts for your calls.
- Keep texting from CC Suite (Conversations). It sends through Project Broadcast by itself. You don't have to copy anything over.
- Texts showing a red triangle? Your approval (A2P) is probably still pending. See Lesson 16.
Words in this lesson
- Project Broadcast
- Your "phone company" for business texts and calls.
- A2P
- The approval every US business needs before it can send texts. Takes days to weeks.
- Business number
- The phone number your leads see when you text or call. Not your personal cell.
Your calendar
See who booked a call, mark whether they showed up, move a call, or book someone yourself. Reminders go out on their own.
What happens by itself
| When | What goes out |
|---|---|
| Someone books | A confirmation email and a confirmation text. Their quiz follow-up stops. |
| 23 hours before the call | A reminder email |
| 1 hour before the call | A reminder text |
| You mark the call No show | 1 hour later: an email and a text to rebook. 3 days later: one more email and text. |
Click Calendars in the left menu 1. Click Appointment list view at the top 2. It is easier to read than the week grid. Each line is one booked call 3.
After each call, click the box under Status 1. Pick Showed 2 if you talked. Pick No show 3 only if they really missed it.
To move a call to a new time, click the three dots at the end of the line 1, then Reschedule 2, and pick the new time.
To change other details, click the three dots 1 and pick Edit 2. (Reschedule 3 is the quick way to move it.) The time column 4 shows the time zone in brackets, like (EST) or (PST).
In Edit details, check the time zone first 1. Then change the Date 2 or the Slot 3. You can also change the Status here 4. Click Save 5.
To book someone yourself, click the blue New appointment button at the top right. Find the person 1, pick the day and time 2, then click Book appointment 3. To block time off (a holiday, a doctor's visit), use the Blocked off time tab 4 instead.
You'll know it worked when
The Status box shows the word you picked, and the call moves to the new time in the list.
Careful
- No show starts messages to that person within an hour. If you picked it by mistake, change it back right away and tell us.
- Moving a call? Use Reschedule. Don't cancel it and book a new one: that sends the person extra messages.
- Use Cancelled, not Delete, when a call is off. Delete removes the record.
- Invalid is for test or fake bookings.
Words in this lesson
- Status
- Where a call stands: Confirmed, Showed, No show, Cancelled or Invalid.
- No-show
- Someone who booked a call and did not come.
- Blocked time
- Time you close on your calendar so nobody can book it.
How your calendar is set up
Your booking calendar is connected to your own Google calendar. This lesson shows why, how it works, and how to change your hours or your time zone.
Before anyone can book a time, your booking calendar looks at your Google calendar. If you already have something there (a dentist visit, a school pickup), that time is closed. Nobody gets booked on top of your life.
Nobody. People booking only see the open times. They never see your events, their names or any details. Your account only checks "busy" or "free".
How it works
- Step 1A lead opens your booking pageFrom an email, a text or your website.
- Step 2Your calendar checks GoogleBusy times are hidden. Only free times inside your hours show.
- Step 3They pick a timeIt shows in their own time zone.
- Step 4The call is saved twiceIn your account and in your Google calendar, so your phone reminds you too.
Go to Settings (bottom left), then Calendars. The Meetings tab 1 lists your booking calendar. The pencil 2 opens its settings. My availability 3 holds your hours. Connections 4 shows the Google link.
Click Connections 1. Your Google calendar shows with a green check 2. Linked calendar 3 is where new bookings get added. Conflict calendars 4 are the ones checked for busy times.
To change your hours: click the pencil on your calendar, then Availability 1, then click your name. At the top is the time zone 2 your hours are in. Below are your hours for each day 3. To close one day (a holiday, a trip), use Date-specific hours 4. Click Edit 5 to change them, then Save.
Booking rules 1 set how calls are booked: how long each call is 2, how much warning you need before a booking 3, and a break before or after each call 4. Click Save changes at the top right when you're done.
What the time zone means
Every time in your account comes with a time zone, like (EST) for New York or (PST) for Los Angeles. Your hours are set in the time zone at the top of your availability. A lead in another state sees the same opening in their own time. A call at 2:30 PM EST is 11:30 AM PST: same call, two labels. If a time ever looks a few hours off, check the letters in brackets first.
You'll know it worked when
Open your booking link in a private browser window. The times you closed are gone, and the first time shown matches your new hours.
Careful
- Don't click the trash can next to your Google calendar. That cuts the link: busy times stop being checked and bookings stop showing in Google.
- Don't change the calendar's Custom URL. Your emails and texts use that link, and it would stop working.
- Your account's time zone is set by us. If the brackets show the wrong one, message us.
- Want a different Google calendar connected, or a second one checked? Message us. That's red.
Words in this lesson
- Linked calendar
- Your Google calendar where new bookings are added.
- Conflict calendar
- A calendar checked for busy times, so nobody books over them.
- Availability
- The days and hours people can book you.
- Time zone
- The clock a time is written in, like EST or PST.
- Buffer
- A short break kept free before or after each call.
Your contacts and tags
Find any person, see their tags, and save a list you can reuse. You need this before Lesson 13, sending to many people.
People who took your quiz typed in their phone, so they have the quiz tag and a number. People who only commented or sent you a Facebook or Instagram message are saved too, but they never typed a phone number. You can't text them. Answer them in Conversations instead.
Click Contacts in the left menu 1. Type a name, phone number or email in Search contacts 2 to find someone. The Tags column 3 shows each person's labels.
Phone numbers and emails are blurred in these pictures to protect privacy. To see only quiz people who have a phone: click Filters. Search Tag, choose Is and pick
quiz1. Click Add nested filter 2 (this means "and also"). Pick Phone and Is not empty 3. Click Apply 4.To keep this list for next time, click Unsaved changes and then Save as new smartlist 1. Give it a name you'll recognize, like "Quiz with phone". It now shows as a tab at the top of Contacts. The Filters (2) button 2 reminds you two rules are on.
Click a person's name to open them. On the far right, click the pencil icon 1 to open Notes, then Add note 2. Write one line after every call, like "Wants to start in March". Only you and your team see notes. Their tags are on the left 3.
You'll know it worked when
The count at the top shows fewer contacts, and every line has quiz in the Tags column and a phone number.
Careful
- If you choose Add Filter instead of Add nested filter, GHL reads it as "or" and shows more people, not fewer.
- Don't use Delete in the Contacts toolbar. A deleted contact is gone.
- Don't add or remove the
quiztag yourself. Your automations use it.
Words in this lesson
- Smart List
- A saved filter. It keeps updating as new people match it.
- Filter
- A rule that hides everyone who doesn't match, like "tag is quiz".
- Nested filter
- A second rule that must also be true ("and").
- Note
- A private line you write on a person. They never see it.
See your quiz answers
Every answer someone gives in your quiz is saved on their contact. You can read them there, or also send them to a Google Sheet so you see everyone in one table.
Already set up for you. Open a person and read their answers on the left side. Nothing to install.
Optional. One row per person, one column per question, filled in by itself every time someone takes your quiz.
Way 1: read the answers on the contact
Open Contacts and click the person's name (or click their name in Conversations). On the left, stay on All fields 1. Type
quizin Search fields and folders 2. Their answers show below 3, one per question, plus their result.Tap any picture to make it bigger.
If a box shows --, it is empty. Those boxes belong to another quiz layout. Skip them.
Way 2: send the answers to a Google Sheet
Open Google Drive, click New, then Google Sheets. Name the sheet
Quiz answers. Leave it empty for now.Let an AI helper plan the sheet for you. Open Claude (claude.ai) or Gemini. Copy the message below, paste it, and add your quiz code at the end. Your quiz file is in your Google Drive folder, with all the other files we made for you.
I have a quiz on my website. It sends every answer to GoHighLevel, where each answer is saved in a contact field that starts with {{contact.quiz...}}. Below is the quiz code. Please: 1. List every question the quiz asks and the field it saves to. 2. Give me the column headers for a Google Sheet, in one line I can paste into row 1: Date, First name, Last name, Email, Phone, then one column per question, then Result. 3. Explain step by step, for a beginner, how to add the "Google Sheets: Create spreadsheet row" action to my "Quiz Webhook → Add User" workflow, connect my Google account, pick my "Quiz answers" sheet, and match each column to the right contact field. Here is my quiz code:Copy the headers the AI gives you and paste them into row 1 of your sheet, starting in box A1. Keep its step-by-step open: you'll follow it next.
In your account, open Automation and click Quiz Webhook → Add User (the workflow that pulls in your quiz answers). Click the small + right under Add Tag. Type
google sheetsin the search box 1 and pick Create spreadsheet row 2. The crown 3 means there is a small cost each time it runs.Click Connect your account 1 and sign in with the Google account that owns your sheet. Allow access. Back here, pick your Drive, the Quiz answers spreadsheet and the sheet tab. Your row 1 headers appear as boxes. In each box, click the small tag icon and pick the matching field (for example Email → Contact, Email). Click Save action, then Save at the top right.
Test it: take your own quiz once. Within a minute, a new row with your answers appears in the sheet.
You'll know it worked when
Way 1: you see real answers under the person's name. Way 2: your test shows up as a new row in Quiz answers.
Careful
- There is a small cost every time this step runs, so once for each person who takes your quiz. That's what the crown and the word Premium 2 mean.
- Don't rename, move or delete the headers in row 1 after you connect. If you must, open the action again and click Refresh headers.
- Only add the new step. Don't move or delete the other steps in this workflow.
- Stuck after 20 minutes? Stop and message us with a screenshot.
Words in this lesson
- Custom field
- A box on each contact that holds one answer, like their quiz result.
- Header row
- Row 1 of your sheet, with the name of each column.
- Premium action
- A workflow step with a crown. There is a small cost every time it runs.
What runs by itself
We already set all of this up for you. You don't need to build anything. This lesson just shows what each workflow does, so nothing surprises you. The only thing you may want to add later is more follow-up in Lead Nurture (Lesson 10).
Click Automation in the left menu. You see your workflows. Published means it is on. Draft means it is off.
Your workflows, in plain words
Quiz Webhook → Add User
Full build onlyThis one pulls in the information from your quiz. Starts when: someone finishes your quiz.
- Saves them as a contact with all their answers
- Adds the tag
quiz - Sends their results email right away
- Tells you a new lead came in
- Waits 1 day, then puts them in Lead Nurture
Lead Nurture
Full build onlyStarts when: the quiz workflow sends them here, the day after the quiz.

The quiz follow-up, day by day
Each quiz lead gets 3 touch points after their results: one email and one text a day, for 3 days. Want more? Lesson 10 shows how to add them.
| Day | Text | From | |
|---|---|---|---|
| Quiz day | Their results | none | Quiz workflow |
| Day 1 | Email 1 | SMS 1 | Lead Nurture |
| Day 2 | Email 2 | SMS 2 | Lead Nurture |
| Day 3 | Email 3 | SMS 3 | Lead Nurture |
Click Lead Nurture to see it. Each box is one step, from top to bottom. Green envelope = email. Green speech bubble = text. Purple clock = wait. Day 1 1, Day 2 2 and Day 3 3 each have an email and a text, with a 1-day wait in between.
Your boxes may be named a little differently, like "Email day 1". It works the same. Click a purple Wait box to see how long it waits 1. Then click Cancel at the bottom so nothing changes.
Message us before you touch these
- The top box of any workflow (the trigger). It decides who goes in.
- The boxes in the quiz workflow. They bring in the information from your quiz. Leave them as they are.
- The Draft / Publish switch at the top right.
Words in this lesson
- Workflow
- One automation: a starting event, then steps in order.
- Trigger
- The event that starts a workflow, like "someone booked".
- Lead nurture
- Follow-up that keeps a new lead warm for a few days until they book.
Change an email or text
Open a workflow, click the message you want to change, edit the words or add a picture, send yourself a test, and save.
Open Automation, click the workflow (for example Lead Nurture), and click the email box you want. A panel opens on the right. Here you can change the Action Name 1 and the Subject 2. When you're done, Save action 3 keeps your change.
Scroll down to the message. Change any words you like. Leave the gray boxes with curly brackets alone. They fill in by themselves: 1 is a custom value, the same for everyone (like your booking link). 2 is a custom field, different for each person (like their quiz result). The tag icon 3 adds a new one.
To add one: put your cursor where it should go, click the tag icon, then scroll to Custom Values 1 and click one, like Calendar Link 2.
For a person's own answer, choose Contact 1, type
quizin the search 2, and pick the answer you want 3.To add a picture to an email: click where the picture should go 1, then click the picture icon in the toolbar 2.
Click Upload 1 and choose your picture. Type a few words that describe it in Alt Text 2. Click Save 3.
Texts work the same way. Click a green speech-bubble box. Change the words in the message box 1. Add attachments 2 adds a picture. Type your own number and click Send test SMS 3 to see it on your phone. (Test texts only arrive once your texting is approved. See Lesson 16.) Then Save action.
Where your custom values and fields live
Settings (bottom of the left menu) → Custom Values 1. Each line 2 has a name, the code that goes in a message, and what it turns into. We fill these in for you 3. Read them, but don't change them. If your booking link ever changes, message us and every message updates at once.
Settings → Custom Fields 1. These are the boxes that hold each person's details 2, each with its own code 3. Your quiz fills them in. Read them here; don't delete them.
You'll know it worked when
Your test arrives with your new words, the picture shows, and the gray boxes turned into real words. At the top of the workflow it says Saved.
Careful
- Don't type inside the curly brackets
{{ }}. One missing bracket shows code to your lead. - Keep "Reply STOP to opt out" at the end of the first text. Phone carriers require it.
- A text with a picture costs more and some phones show it late. Use pictures in emails mostly.
- Long texts are split into several and charged that way. Under 160 letters is one text.
- Your change applies to people who haven't reached that message yet.
Words in this lesson
- Custom value
- A saved word or link that is the same for everyone, like your booking link. Change it once, it updates everywhere.
- Custom field
- A box on each person that holds their own answer, like their quiz result.
- Alt text
- A short description of a picture, shown if the picture doesn't load.
Add more follow-up
Your Lead Nurture comes with 3 days. Want a Day 4? Copy the last day, paste it at the end, then change the names and words. This is the one thing you may want to add yourself.
Open Automation, click Lead Nurture and scroll to the bottom. The last day is three boxes together 1: Wait 1 day, Email 3, SMS 3.
Click the three dots on that last Wait 1 day box 1. Click Copy all actions from here 2. That copies the wait, the email and the text together.
Never click the Delete choices in this menu. Move your mouse over the small + under SMS 3, just above END. A clipboard icon appears next to it 1. Click the clipboard. Three new boxes appear at the bottom.
Click the new email box. Change Action Name to
Email 4and write a new Subject. Replace the message with your new words (Lesson 9). Click Save action. Do the same for the new text: name itSMS 4, new words, Save action.Send yourself a test of the new email. Click Save at the top right. Need a Day 5? Repeat from step 2, starting from the newest Wait box.
You'll know it worked when
The bottom of the workflow reads: Wait 1 day → Email 4 → SMS 4 → END, and your test arrived with the new words.
Careful
- Always copy from the Wait box. If you copy only the email, Day 4 goes out the same day as Day 3.
- Change the words in the copies. Otherwise people get Day 3 twice.
- Only quiz contacts have a phone number. The text step simply does nothing for people without one. That's normal.
- Made a mistake? Use the curved undo arrow at the top right before you leave the page.
Words in this lesson
- Action
- One box in a workflow: an email, a text, a wait.
- Wait step
- A pause before the next message, like "1 day".
- Touch point
- One moment a lead hears from you. You start with 3.
Facebook and Instagram comments
When someone comments your keyword on a post, your account answers them for you and sends them your quiz in a private message.
Two workflows: Facebook Comment Automation and Instagram Comment Automation. They start when someone comments your keyword, like QUIZ.
You post "Comment QUIZ and I'll send it to you". Every comment gets an answer in seconds, day or night, and each person gets your quiz link.
What happens, in order
- Step 1They comment your keywordOn a post on your page.
- Step 2A reply goes under their commentLike "Check your DM!" On Facebook, their comment also gets a like.
- Step 3A private message arrivesWith a button that opens your quiz.
- Step 4A friendly nudgeIf they tap the button, a few hours later they get "Were you able to take the quiz?"
The chat shows up in your Conversations. These people are saved as contacts but have no phone number until they take the quiz (see Lesson 6).
Open Automation and click Instagram Comment Automation (or Facebook). The top box is the trigger 1. Click it to see the keyword under Contains phrase 2. To use a different word, click the X on the old word and type the new one. The switch at the top 3 shows Draft (off) or Publish (on).
Click Respond On Comment 1. These are the public replies 2. One is picked at random each time, so it looks natural. Change the words, or click Add new response 3 to add another. Click Save action.
Click the interactive messenger box 1. This is the private message 2. Change the words the same way you change a text (Lesson 9).
Scroll down to Buttons. The button's words 1 and the link it opens 2 live here. The link must be your quiz page. The wait time 3 is how many minutes they have to tap the button. Click Save action.
You'll know it worked when
A friend comments your keyword on your post. Within a minute they see a reply under the comment and a private message with the quiz button, and the chat appears in your Conversations.
Careful
- If you change the keyword here, use the exact same word in your post. Keep it to one short word.
- These workflows stay on Draft until your Facebook and Instagram pages are connected and we've tested them. Don't switch them on yourself. Message us.
- If the workflow is already on, click Save at the top right after your changes, or they won't count.
- Instagram allows 2 buttons, Facebook 3. One is all you need.
Words in this lesson
- Keyword
- The word people comment to get your quiz, like QUIZ.
- DM
- Direct message: a private chat on Facebook or Instagram.
- Trigger
- The event that starts a workflow. Here: a comment with your keyword.
Your social media posts
We schedule your posts for you. They go out on Facebook and Instagram by themselves. This lesson shows where to see them.
Click Marketing in the left menu, then Social Planner 1. You see your posts as a list. The two buttons 2 switch between the list and a calendar. Status 3 tells you if a post already went out (Published) or is waiting (Scheduled). Date 4 is when it goes out.
The calendar shows a whole month. Switch between Month and Week 1. Each box is one post on the day it goes out 2.
The three dots on a post 1 open its options. Preview 2 shows the post as people see it. Posts that haven't gone out yet also show Edit, so you can fix a word before it's published.
Number 3 is Delete. Never click it.
You'll know it worked when
You can find today's post in the calendar and open its preview.
Careful
- Don't click Delete on a post. A deleted post also disappears from your page.
- Don't click Run as Ad. That spends money on ads.
- Want a post changed after it went out, or new posts? Message us.
Words in this lesson
- Social Planner
- The place in your account that holds and sends your social media posts.
- Scheduled
- Waiting to go out on a set day and time.
- Published
- Already out on your page.
Send to many people
Pick a list in Contacts, select everyone, and send one email or one text to all of them. Do Lesson 6 first.
Before any group text
Only text people who gave you their number and agreed to texts. Start with your "Quiz with phone" list from Lesson 6. Never text a list you bought or copied.
Open Contacts and click your saved list (or set the filter from Lesson 6). Click the small box at the top of the list 1 to select everyone. A toolbar appears: Send email 2, More 3 for texts, and your list button 4.
The dashed box is Delete. Never click it here. Click More. Choose Send SMS 1 for a text or Send email 2 for an email.
Group text: give it a name you'll recognize 1, write the message 2, add a picture if you want 3. Under Mode 4 pick Send in drip mode for big lists (a few at a time) or Send at scheduled time for later. Click Send SMS 5 only when you're sure.
Your texts go out through your Project Broadcast number. If you see a red line about a phone number here, message us. See Lesson 16. Group email: first you see who will get it. Check the numbers 1: people who unsubscribed are left out by themselves. Click Confirm and proceed 2, write your email the same way as in Lesson 9, send a test to yourself, then send or schedule it.
You'll know it worked when
Contacts → Bulk Actions (tab at the top) shows your send with how many went out.
Careful
- Send your first group message to a list of just yourself. Check it, then send for real.
- Keep "Reply STOP to opt out" in group texts.
- Big email blasts to people who never heard from you land in spam. Email people who know you.
Words in this lesson
- Bulk send
- One message sent to many contacts at once.
- Drip mode
- Sends a few at a time instead of all at once. Safer for big lists.
- Opt out
- When someone replies STOP or unsubscribes. They won't get group messages again.
Send your newsletter
Your newsletter design is already in your account, saved as an email template. Each month you make a copy, change the words and pictures, and send it.
A ready-made email layout with your colors, logo and sections. We put it in your account for you.
Each month you change the words and pictures, not the design.
Click Marketing in the left menu, then Emails 2, then Templates 3. Your newsletter is in the list.
Click the three dots on your newsletter and pick Duplicate. Name the copy with the month, like
Newsletter – March. Never write over the original.Open the copy. Change the words and pictures (Lesson 9 shows how to add a picture). Save, and send a test to yourself.
Send it to your list the way Lesson 13 shows: choose Send email and pick your newsletter copy.
You'll know it worked when
Your test arrives looking like your design, with this month's words and pictures.
Careful
- Always work on a copy. The original stays clean for next month.
- Keep the unsubscribe link at the bottom. The law requires it.
- Don't see your newsletter in Templates? Message us and we'll add it.
Words in this lesson
- Template
- A saved email design you reuse.
- Duplicate
- Make a copy, so the original stays safe.
Monthly check-up
Once a month, make sure your website still brings people in, and look at three numbers. Only looking, nothing to change.
1. Check your website
Click Sites in the left menu 1, then Websites at the top 2, and open your website. Click the small box with an arrow under a page 3 to see that page, or the one at the top right 4 to see the whole site, just like a visitor would.
Use the preview icons only. The blue Edit buttons are for us. On your site, take the quiz or fill in the form once, using your own name and email. Then open Conversations (Lesson 1). Within a few minutes you should see yourself there with the results email.
2. Look at your numbers
Click Reporting in the left menu 1. It opens the Appointment report. Set the dates to last month 2. Leave All calendars as it is 3.
Write down three numbers: Booked 4 (calls people booked), Showed 5 (calls that happened) and No-show 6 (calls they missed). Compare them with last month.
You'll know it worked when
You found your own test in Conversations, and you have this month's Booked, Showed and No-show numbers written down.
Careful
- Your test shows up as a new lead, with the
quiztag, and gets the follow-up messages. That's fine: it proves it works. Tell us it was a test if you'd like it cleaned up. - Showed and No-show only count if you mark each call after it happens (Lesson 4).
- If your test never shows up in Conversations, message us right away.
Words in this lesson
- Preview
- Seeing your page the way a visitor sees it, without changing anything.
- Show rate
- Out of the calls booked, how many happened. Showed divided by Booked.
Something looks wrong
The common problems, what they mean, and what to do. If yours isn't here, message us with a screenshot.
My texts show a red triangle and "No numbers available in the account"
Your texts are sent through Project Broadcast (Lesson 3). Before any business can text, the phone carriers have to approve it. This approval is called A2P, and it can take from a few days to a few weeks. Until it is approved, texts show this red triangle. Emails still work, so nothing is lost. You don't need to do anything: texts start going out by themselves once the approval comes through. If it has been more than three weeks, message us.
A call time looks a few hours off
That is a time zone difference. Your account shows times in its own time zone, and each person sees times in theirs. See Lesson 5. If your account shows the wrong time zone, message us and we'll fix it.
Someone has no phone number
They came from a Facebook or Instagram comment or message and never filled anything in. You can't text them. Answer them in Conversations on the same channel they used.
An email shows a blank where a name should be
A custom value in that email is empty or missing. Check Settings → Custom Values (Lesson 9). If you don't see it there, message us and tell us which email it was.
I marked No show by mistake
Change the status back to Confirmed or Showed right away, then tell us. The no-show messages wait 1 hour, so we may be able to stop them.
Someone wants to stop getting messages
If they reply STOP, texts stop by themselves. To stop everything: open the person in Conversations, click the DND tab on the right, and turn on Do Not Disturb.
My emails go to spam
Don't send group emails to people who never asked to hear from you, and keep the unsubscribe link. If it keeps happening, message us so we can check your email settings.
I changed something and now it doesn't work
Stop clicking. If you haven't left the page, use the undo arrow at the top right. Then message us with the workflow name and what you changed. We can see the history.
A workflow says Draft
Draft means it is off. Don't switch it on yourself. Some drafts are waiting for a connection, like your Facebook page. Message us.
